Who we are
EZFILL LLC ("EZ Fill," "we," "us") operates a propane ordering, delivery-management, and marketing software platform used by RV parks, campgrounds, gas stations, convenience stores, and hardware/feed stores ("Venues") and their propane customers ("Guests"). EZ Fill is the software platform, not the propane supplier — propane is supplied and delivered by the Venue's servicing propane supplier. This policy covers information we handle through our apps, websites (including myezfillapp.com and per-supplier pages), and services.
Information we collect
- Account & contact info: name, email, phone number, mailing/site address, and Venue and site identifiers.
- Order & usage info: propane fills, gallons, schedules, delivery status, and prebuy balances.
- Payment info: processed by our payment processor (Stripe). We do not store full card numbers; we receive limited transaction data (e.g., last 4, status).
- Prospect info (marketing tools): when a business runs a free Google presence report, we collect the business name/address and the requester's name, email, and (optionally) phone.
- Communications: SMS/email consent status, message and delivery logs, and opt-out records.
- Device & usage data: app/website interactions, device and log data, and cookies/identifiers needed to run and secure the service.
- Location: only as needed for delivery/dispenser features or if you provide an address; we do not track continuous background location.
How we use information
- Provide, operate, and secure the platform (ordering, scheduling, payments, delivery management).
- Facilitate fulfillment by the Venue's propane supplier.
- Send transactional messages (fill scheduling/confirmations, receipts, account/service alerts).
- Send marketing messages (review requests, referral invitations, promotions, requested presence reports) only with the recipient's prior consent.
- Generate reports and analytics for Venues and suppliers.
- Improve, troubleshoot, and develop the service, and comply with law.
Text messaging (SMS) — consent & your choices
By providing your mobile number and opting in, you may receive recurring automated text messages from EZ Fill and/or your Venue about propane service and, where you separately consent, marketing (review requests, referrals, promotions). Consent is not a condition of any purchase. Message frequency varies; message and data rates may apply. Reply STOP to unsubscribe or HELP for help. Transactional and marketing consent are handled separately, and you can opt out of marketing while still receiving service messages.
We do not sell your information, and we do not share mobile opt-in data or your phone number with third parties or affiliates for their own marketing purposes.
How we share information
- Your Venue and its propane supplier — to fulfill orders, deliveries, and service.
- Service providers — payment processing (Stripe), messaging (Twilio), business-data and mapping/analytics providers used to generate presence reports (e.g., Google, DataForSEO), and hosting/infrastructure — each bound to handle data on our behalf.
- Legal / safety — to comply with law, enforce our terms, or protect rights and safety.
- Business transfers — in a merger, acquisition, or asset sale, subject to this policy.
We do not sell personal information.
Data retention
We keep information for as long as needed to provide the service, meet legal, tax, and dispute-resolution obligations, and maintain consent/opt-out records, after which we delete or de-identify it.
Your choices & rights
- Access / correction / deletion: request access to, correction of, or deletion of your information at admin@myezfillapp.com.
- Data portability: account data can be exported (CSV; no card data).
- Marketing opt-out: reply STOP to texts; use the unsubscribe link in emails.
- State privacy rights: depending on your state, you may have rights to access, delete, correct, or opt out of certain processing; contact us to exercise them.
Security
We use reasonable administrative, technical, and physical safeguards to protect information. No method of transmission or storage is 100% secure.
Children's privacy
The service is not directed to children under 13, and we do not knowingly collect their information.
Changes
We may update this policy; the "Last updated" date will change, and material changes will be communicated as required.
